Examination grievance Mechanism

Examination Grievances:
Marathwada Mitra Mandal’s Shankarrao Chavan Law College, Pune, outlines the process for addressing examination grievances within the institution. It provides a step-by-step guide for students to understand how to handle grievances related to internal and external examinations, ensuring clarity and resolution. The College Examination Committee, led by the College Examination Officer (CEO), Principal, and faculty, ensures the smooth conduct of examinations and internal assessments. Grievances are promptly addressed through a structured mechanism. Students submit grievances online or offline to the Exam Department, which forwards them to the Office Superintendent (OS) or College Examination Officer (CEO) for resolution. If the issue is unique or unprecedented, it is escalated to the Principal and subsequently sent to SPPU for further action. Once SPPU provides a solution, the CEO or Office Superintendent implements it to resolve the grievance. Throughout the process, the Principal is kept updated on the grievance status.
Internal Examination Grievances:
Internal grievances focus on issues like Internal Evaluation Marks, where students raise concerns about the fairness or accuracy of assigned marks. They also include problems with Schedules, such as exam or viva clashes, and Backlogs, addressing difficulties in managing or resolving pending subjects due to administrative or procedural delays.
Steps for Grievance Resolution:
- The grievance process begins with students consulting the Course Teacher, serving as the first informal resolution step.
- The teacher assesses the grievance, verifies its validity, and promptly addresses it by sharing the Print Preview on the notice board or the official WhatsApp group.
- If no further queries arise, the matter is finalized and forwarded to SPPU for processing, ensuring transparent resolution of the issue.
- If unresolved, the grievance is escalated to the College Examination Officer (CEO). At this level, the issue is reviewed more formally, considering the institutional policies.
- If a resolution is still not achieved, the next step involves consulting the Principal of the college, who evaluates the grievance on a broader administrative level. `
External Examination Grievances:
External examination grievances include issues related to the university exam form, such as backlog subjects not reflecting, changes in exam patterns, or missing regular subjects. Problems with hall tickets are also prevalent, including non-receipt of hall tickets or errors in names, course details, and program names. Additionally, students frequently face concerns regarding rechecking, copy viewing, and re-evaluation of their answer sheets. Mistakes in mark sheets, similar to those in hall tickets, such as incorrect names, course titles, or program details, are also common.
Steps for Grievance Resolution:
- For these grievances, students are first required to address their concerns through the Office Superintendent (OS). This department ensures that the issue aligns with the policies of the Savitribai Phule Pune University (SPPU).
- If required, grievances can be escalated to SPPU’s Revaluation and Verification System. This step involves university-level intervention to resolve disputes related to revaluation or verification of marks.
- Similar to internal grievances, unresolved external grievances follow an escalation route involving the Principal if necessary.
Informal Mechanism:
- Contact the department through the official WhatsApp Groups.
- Email their concerns to the designated grievance address: examination@sclc.edu.in
- Contact No.: +91-9423508945 These informal methods allow quicker responses but are supplementary to the formal process.
Formal Documentation
The institution also maintains a Grievance Register, ensuring that all reported issues are logged systematically for accountability and follow-up.
